The Basics
What ReturnRail is, who it is for, and where it fits in a litigation team's records work.
What is ReturnRail?
What is ReturnRail?
ReturnRail is records-retrieval software built for litigation teams. It helps a firm determine where requests should go, prepare and control request packets, manage delivery and follow-up, receive returned records, and review what came back—all from one case-centered workflow.
What problem does it solve?
What problem does it solve?
Records retrieval is usually fragmented. Provider research, packet preparation, status, follow-up, service proof, and returned documents often live in different systems or individual memory.
ReturnRail gives the firm one authoritative request record from destination research through returned production.
Who uses ReturnRail?
Who uses ReturnRail?
ReturnRail is designed for paralegals, subpoena clerks, case managers, litigation-support teams, attorneys, and other staff responsible for obtaining and managing records.
Operators get a clearer daily workflow. Attorneys and firm leadership get better visibility into what happened and what remains outstanding.
What types of records and requests does it support?
What types of records and requests does it support?
The same workflow can support medical and billing records, employment and wage records, insurance records, business and corporate records, and government or agency records.
ReturnRail supports authorization-based requests, subpoenas, public records requests, and workflows that require more than one legal path.

Provider & Destination Intelligence
How ReturnRail helps prevent a strong request from going to the wrong recipient.
How does ReturnRail know where a request should go?
How does ReturnRail know where a request should go?
ReturnRail maintains provider-routing intelligence for entities, departments, addresses, fax lines, portals, and other destinations. Suggested routes can include supporting research and confidence information so the operator can evaluate the destination before accepting it.
ReturnRail proposes the route. Your team confirms it.
What if one provider uses different departments for different records?
What if one provider uses different departments for different records?
ReturnRail can preserve separate destinations for different record categories. If treatment, billing, and imaging records belong with different departments, the platform can surface those distinctions instead of pretending one destination covers everything.
What if a destination turns out to be wrong?
What if a destination turns out to be wrong?
The operator can flag the incorrect route, record the corrected destination, and preserve supporting research. Approved corrections can improve the provider-routing knowledge available for future requests so the same work does not have to be repeated indefinitely.

Requests & Documents
How firm templates, packet control, and human legal judgment remain part of the workflow.
Can we use our own forms and templates?
Can we use our own forms and templates?
Yes. A firm can use its approved notices, subpoenas, certificates, authorization letters, and other supported templates.
ReturnRail maps case- and provider-specific information into the appropriate fields while preserving the firm's underlying legal language. The team can review the mapping and preview generated documents before using a template in production.
What is the send gate?
What is the send gate?
The send gate is a readiness control. It distinguishes a request that merely has documents attached from one that has the current reviewed packet and required confirmations in place.
It gives the operator a clearer answer to a basic question: is this request really ready to go?
Does ReturnRail replace our attorneys' legal judgment?
Does ReturnRail replace our attorneys' legal judgment?
No. ReturnRail organizes and controls the operational workflow. Routing suggestions are reviewed by users, firm templates remain firm-controlled, and legal approvals remain with the appropriate people at the firm.
The software supports the process; it does not replace legal judgment.

Tracking & Returned Records
How teams keep requests moving and review responses without reconstructing the history.
How do we know which requests need attention?
How do we know which requests need attention?
ReturnRail provides personal and firm-level work views designed to surface requests that have changed, require action, are waiting on another party, or are complete for the moment.
The objective is to let operators work from the next required action rather than repeatedly inspecting every open request.
What happens when records come back?
What happens when records come back?
Returned documents remain connected to the request they answer. That gives the reviewer the original request scope, packet, service history, and related context while evaluating the response.
A person can then decide whether the response matches what was requested and whether manual supplemental follow-up is appropriate. ReturnRail preserves the context; it does not claim to determine completeness automatically.
Does ReturnRail handle provider invoices?
Does ReturnRail handle provider invoices?
Provider fees and their status can be tracked against the request so the amount, payment state, and related follow-up remain visible with the rest of the work.
The provider's copy charges remain the provider's charges; ReturnRail does not add a per-page retrieval margin.
FAQ section
Medical Records & Case Tools
Additional workflows for finding sources and keeping the record current as a case develops.
What is Medical Canvassing?
What is Medical Canvassing?
Medical Canvassing helps a litigation team identify potential treatment facilities through administrative outreach designed to avoid disclosure of HIPAA-protected information. Confirmed sources can then become records requests through the normal workflow.
What is Refresh Records?
What is Refresh Records?
Cases often require updated medical records months after an earlier production. Refresh Records brings prior providers together, helps define the appropriate refresh period, and lets the team create updated requests without rebuilding the provider roster from scratch.
FAQ section
Security & PHI
The controls a firm should evaluate before placing confidential legal records into any system.
How does ReturnRail protect our firm's data?
How does ReturnRail protect our firm's data?
ReturnRail is designed around firm-scoped access, role-based memberships, two-factor authentication, append-only activity history, expiring external links, inbound-file scanning, encrypted connections, service monitoring, and retained backups.
Cases, requests, packets, and returned productions remain scoped to the firm.
Is ReturnRail HIPAA certified?
Is ReturnRail HIPAA certified?
There is no official government-issued HIPAA certification for software vendors. Firms should evaluate how a system actually handles protected health information rather than relying on a certification label that does not exist.
ReturnRail is designed to keep PHI out of audit-event payloads and internal notification messages, restrict access to firm-scoped workspaces, use expiring links for external access, and preserve the legal basis and review state of records requests. We are prepared to walk a firm's compliance team through those controls directly.
Does Medical Canvassing disclose PHI?
Does Medical Canvassing disclose PHI?
The canvassing workflow is designed around administrative outreach that avoids asking for substantive medical records, diagnoses, or clinical details. Any actual records request occurs separately through the appropriate legal process.
Is our case information shared with other firms?
Is our case information shared with other firms?
No. Cases, parties, requests, packets, returned records, and other case content remain firm-scoped.
Routing knowledge can improve independently—for example, a corrected records-department fax number or portal destination. That operational routing information is distinct from case or patient information and changes remain subject to review.

Pricing & Implementation
How firm licensing, provider fees, and rollout fit together.
How is ReturnRail priced?
How is ReturnRail priced?
ReturnRail is licensed to the firm, with pricing based on factors such as team size and request volume. It is software the team operates—not a traditional retrieval company charging a markup on every record or page.
We provide firm-specific pricing during the product walkthrough.
Do you charge per page or take a percentage of provider fees?
Do you charge per page or take a percentage of provider fees?
No. Copy fees charged by a hospital, records custodian, or other provider remain provider fees. ReturnRail can track those invoices as part of the request workflow, but it does not sit between the firm and provider taking a margin on the records.
What does implementation require?
What does implementation require?
A firm does not need to migrate its entire historical records operation before getting started. We configure team access and can map existing document templates while users begin learning the workflow.
The goal is to get a real request moving through ReturnRail quickly rather than turn implementation into a separate project.
